Privacy Policy
Policy Praxis (“PP”, “we”, “us”) is committed to protecting the privacy of contributors who create an author profile or submit content on policypraxis.com (the “Site”). This Privacy Policy explains what personal data we collect from authors and contributors, how we use it, how we protect it, and what rights you have over it. By creating a profile or submitting an article, you consent to the practices described here.
Information we collect
- Profile information: name, email address, phone number (optional), institutional or organisational affiliation, professional title, short biography, profile photograph, and links to professional or social media profiles you choose to provide.
- Submission content: the text, images, data, and any supplementary material you submit for publication, along with associated metadata (e.g. submission date, article category, language).
- Communication data: correspondence between you and the PP editorial team, including emails and messages exchanged through the Site’s submission or contact forms.
- Technical data: IP address, browser type, device information, and site usage data collected automatically through cookies and standard web analytics when you access the Site.
How we use your information
We use the information collected to:
- create and manage your author profile;
- review, edit, and process your submission through the editorial workflow;
- communicate with you about the status of your submission, edits, and publication;
- attribute authorship correctly on published work (byline, bio, photo);
- maintain the security, functionality, and performance of the Site;
- compile anonymised, aggregate statistics on readership and site usage.
We do not use your personal data for unrelated marketing purposes, and we do not sell your personal data to third parties.
Sharing of information
Your information may be shared only with:
- members of the PP editorial team involved in reviewing, editing, or publishing your work;
- service providers who support Site operations (e.g. hosting, email delivery, analytics), bound by confidentiality obligations;
- recipients where required by law, regulation, or a valid legal process.
Published content including your byline, bio, and photograph, if provided, will be publicly visible on the Site as part of the published article, in line with the Publication & IP Policy below.
Data storage and security
We take reasonable technical and organisational measures to protect your data against unauthorised access, alteration, disclosure, or destruction, including restricted access to author records and secure hosting infrastructure. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
Data retention
We retain your profile and submission data for as long as your author account is active, and for a reasonable period thereafter to maintain editorial records, resolve disputes, and comply with legal obligations. Published articles, including author attribution, are retained as part of the Site’s permanent public archive unless removal is required under the Publication & IP Policy.
Your rights
Subject to applicable law, you may request to:
- access the personal data we hold about you;
- correct inaccurate or outdated profile information;
- withdraw consent for the processing of your personal data (noting that this may not affect already-published content, addressed separately under our Publication & IP Policy);
- request deletion of your profile data, where this does not conflict with our record-keeping or legal obligations.
Requests can be sent to mail@policypraxis.com.

The Site may use cookies and similar technologies to remember preferences (such as language and dark/light mode) and to gather anonymised usage statistics. You can control cookie preferences through your browser settings.
